Common Name and Legal Name

Inclusion System Update: New Features

Our Newest Additions for the Summer

We’re releasing a bundle of new features this weekend. All sorts of things, big and small. We hope you like them!

We’re now using Employee Common Names

“Who’s Samantha..? Oh wait a sec, is that Sunny?!”
It’s alright if you’re unfamiliar with an employee’s first name. The Inclusion System will now be using employee common names throughout the system.

What was previously known as the First Name field will now be set as the Legal First Name, while the previously known Common Name field will now be the First Name(Common).

The value within the First Name(Common) field will now be the name displayed throughout the system in places such as Scheduling, Daily Approval, Payroll, Employees, etc. For legal documents such as Electronic Statement Of Earnings, Record Of Employment, and T4s, the value in your employee’s Legal First Name field will be used. If an employee does not require a common name, their legal name will be used.

Updated fields for Employee Contact Points

We’ve added a few new fields to help you keep track of even more employee information. The new fields are

  • Drivers License
  • Employee Note
  • Employee Detail

More Stuff

Some of the other things that we’d like to mention:

  • You can now see the Hours Classification and Home Department of each employee when viewing bids within Shift Bidding.
  • The Payroll Instructions tab is now sorted alphabetically and will have the option to display or hide disabled Payroll Instructions.
  • Accrual Caps can now be set at the organizational level. They’re no longer limited to the employee level.
  • For organizations who have the unions option enabled, the seniority date column has now been added to the Employee Details report.  If the field does not apply to an employee within the organization, it will be blank.
  • For BC organizations that use CSSEA, the Level field has been modified to accept four letters or dash characters. The step field is still limited to numbers. Both Step and Level values have also been added to the display on the wage grid. They can be found under the Rate Classification.

As always, if you have any questions, comments or concerns, you can reach us at 1-866-884-3451, or send us an email at includables@inclusionsystem.ca

Sincerely,
The Includables

Inclusion System extends our profound respect and immeasurable gratitude to all the ancestors and keepers of the land on whose traditional territories our work takes place. We acknowledge that we are on Treaty 1 territory, the traditional gathering place of the Anishinaabe, Cree, Oji-Cree, Dakota and Dene people and the traditional homeland of the Métis people. This land is sacred, historical, and significant.

Every time we acknowledge this truth, we have an invitation and an opportunity to reflect on the wrongs of the past, what we do in the present, and what we can do to continually honour the people whose lands and water we benefit from today.

This statement only acts as a first step in honouring the land we reside on and its peoples, and must be paired with education, understanding and informed action.
