Inclusion System Update: September 2020

As the coolness of the fall sets in, we’re sharing a little bundle of improvements in the areas of Payroll and Clocks.

Payroll Changes

  1. More accurately managed wage grids

Previously users were able to change effective dates and rates to wage grids. As a result, past rates and their effective dates would be deleted and not easily recovered when this information was needed.

We’re always happy to help but we thought it would be best to prevent this issue from coming up again. So for any new wages and effective dates, users will need to add a new wage grid instead of trying to override current information. The picture below shows a reminder that will pop up from within the Edit Pay Rate Table.

       2. Adjusting to holiday dates

When the year comes to an end we’ve got the next year covered! Pay dates will be automatically adjusted if any of the existing dates fall on a holiday. And not to worry, pay period dates won’t get messed up since a pay date that falls on a known holiday will be moved to the business day before the holiday.

      3. Au revoir Quebec

We need to share that we’re saying ‘goodbye’ to Quebec from the Region of Employment. You may notice it has been removed from all the various Region of Employment drop-down menus, for example when adding or editing a new employee, when setting organizational defaults, when adding or editing a template. Here’s a  screenshot to give you an example.

    4. Warnings for stat pay ad hocs

For those of you who are working with Daily Approval, we know that unplanned payments happen here and there, and we also know you have enough to think about when stat holidays come up. With this release, you’ve got a little less that you’ll need to remember:

  • Warning situation #1: When a user enters the input sheet for a period that has a stat holiday, a warning will appear if there were any ad hocs run during the stat eligibility period. You’ll also get an alert that there are ad hoc earnings which impact stat pay and may need manual review. Please see the image below for an example.

  • Warning situation #2: Ad hocs created for the period when there is a stat will also have a warning that the earnings on the ad hoc will not be included in the stat pay calculations. Please see the image below for an example.

Just keep in mind though that other types of ad hocs will not have the warning message at this point in time.

Clocks

Daily approval has been modified to prevent late punches from having any impact on calculations for the period. The punches will be marked with an icon to indicate that they were added after the payroll for the period was posted. The same warning will apply to any records added after a pay period is posted. The picture below gives you a sense of what the icon looks like and the alert text “Added/Modified after payrun is posted”.

That’s it for now! We hope that you find these little changes helpful as you get onto doing your awesome work.

As always, If you have any questions or concerns please call us at 1-866-884-3451, or send us an email at includables@inclusionsystem.ca

Sincerely,
The Includables

Inclusion System extends our profound respect and immeasurable gratitude to all the ancestors and keepers of the land on whose traditional territories our work takes place. We acknowledge that we are on Treaty 1 territory, the traditional gathering place of the Anishinaabe, Cree, Oji-Cree, Dakota and Dene people and the traditional homeland of the Métis people. This land is sacred, historical, and significant.

Every time we acknowledge this truth, we have an invitation and an opportunity to reflect on the wrongs of the past, what we do in the present, and what we can do to continually honour the people whose lands and water we benefit from today.

This statement only acts as a first step in honouring the land we reside on and its peoples, and must be paired with education, understanding and informed action.
